What it's about

PM Course Booking

PM Course Booking is a modern web application built for dance schools and similar course-based organizations. It brings your entire operation into a single system: publish courses with schedules and images, let families register and book online, assign instructors based on their actual skills, and keep GDPR consent records for every participant — with full history.

The system understands how dance schools really work. Customers are families with parents and children, or companies with contact persons. Courses run as recurring sessions across multiple locations and rooms. Instructors have specific qualifications that must match course requirements. PM Course Booking models all of this natively instead of forcing your school into a generic booking tool.

Built by premotion media on a fast, lightweight modern web stack, the application runs as a responsive single-page app that works for administrators, managers, instructors, and customers alike — each with their own role-based view.

Customers browse your published courses in a clean, visual catalog with images, descriptions, pricing, schedules, and live availability. A guided multi-step booking wizard walks them from participant selection through course selection to consent confirmation — no phone calls, no paper forms.

01

Online Course Browsing & Booking

Customers browse your published courses in a clean, visual catalog with images, descriptions, pricing, schedules, and live availability. A guided multi-step booking wizard walks them from participant selection through course selection to consent confirmation — no phone calls, no paper forms.

  • Public course catalog with image galleries, categories, and featured courses
  • Course detail pages with session schedules, location info, and enrollment availability
  • Multi-step booking wizard: select participants, choose course and sessions, confirm consents
  • Parents book for one or several children in a single flow
  • Staff can also create bookings on behalf of customers from the admin side
02

Course & Session Management

Create courses with full scheduling control. Each course consists of individual sessions with their own dates, times, rooms, and capacity limits — including recurring session support for weekly classes across a semester.

  • Course lifecycle with draft and published states
  • Per-course pricing, categories, participant limits, and descriptions
  • Individual sessions with start/end times, minimum and maximum participants
  • Recurring session scheduling for weekly course programs
  • Room and location assignment per session
  • Course image galleries managed directly in the admin interface
03

Family & Company Customer Management

Customers are modeled the way dance schools actually encounter them: as families with adults and children, or as companies with contact persons. Every person is tracked individually, so sibling enrollments, parental bookings, and decision-maker roles all work naturally.

  • Family accounts with adults and children as separate persons
  • Company accounts with contact persons, VAT number, and registration details
  • Role flags per person: adult, child, or contact — including primary and decision-maker markers
  • Billing address management per customer
  • Customer detail view with all members and full enrollment history
  • Profile photos for every person
04

GDPR Consent Management

Consent tracking is built into the core of the system — not bolted on. Every participant has a personal consent record with full history: what was consented to, who gave the consent, when, and in what context. Consents are checked and recorded inline during the booking process.

  • Consent records per person with type, timestamp, and revocation tracking
  • "Given by" tracking — records which parent or guardian gave consent for a child
  • Consent linked to specific courses where relevant
  • Optional signature reference per consent record
  • Complete consent history per person in a dedicated Consent Center
  • Consent status check integrated directly into the booking wizard
05

Skill-Based Staff Management

Define the qualifications your courses require, assign skills with levels and expiry dates to your instructors, and let the system show you exactly which team members qualify for which course. No more guesswork when planning who teaches what.

  • Central skills catalog with categories and codes
  • Per-instructor skill assignments with level, acquisition date, and validity period
  • Required skills per course with target level and minimum staff count
  • Skill match view: instantly see which instructors meet a course's requirements
  • Skill coverage overview per course for planning and gap detection
06

Multi-Location, Rooms & Teams

Run one studio or many. Locations contain rooms with capacities and base prices, teams are organized per location, and every session knows exactly where it takes place.

  • Unlimited locations with full address and timezone data
  • Rooms per location with capacity and base pricing
  • Location and room image galleries
  • Teams organized per location with member management
  • Instructor cards with profile photos and skill overviews
07

Role-Based Access & User Management

Four user roles keep everyone in their lane: administrators manage everything including users, managers run daily operations, team members see their dashboard and calendar, and customers manage their own family and bookings.

  • Roles: admin, manager, team member, customer — each with tailored navigation
  • Customer accounts created via self-registration
  • Staff onboarding via email invitations with pre-assigned roles
  • Password reset via secure, time-limited email tokens
  • Personal profile pages for every user
08

Reports, Calendar & Communication

Operational visibility built in. Filterable reports show bookings by customer, by team member, and by location. A calendar view puts all sessions on one timeline. Integrated email lets staff message course participants directly from the system.

  • Customer bookings report with enrollment history
  • Team bookings report showing instructor assignments
  • Location bookings report for utilization overview
  • Calendar view with filter panel and date range selection
  • Compose and send emails to course participants directly from the admin interface
  • Dashboard with upcoming sessions at a glance
How it works

A clear path to the result.

  1. 01

Step 1 — Set Up Your School

Create your locations and rooms, define your skills catalog, and invite your team members by email with the right roles assigned from the start.

  2. 02

Step 2 — Build Your Course Program

Create courses with descriptions, images, pricing, and participant limits. Add sessions with recurring schedules, assign rooms, and define which instructor skills each course requires.

  3. 03

Step 3 — Publish and Take Bookings

Publish courses to the catalog. Families register, add their children, and book through the guided wizard — with GDPR consents recorded inline during checkout.

  4. 04

    Step 4 — Manage Operations

Match instructors to courses using the skill coverage view, track enrollments, monitor the calendar, and email participants when schedules change.

  5. 05

Step 5 — Review and Report

Use the customer, team, and location booking reports to understand utilization, instructor workload, and enrollment activity across your whole organization.

Who is it for?

Made for concrete requirements.

The solution is a particularly good fit for these teams, roles and business models.

Dance School Owners & Studio Managers

Run your entire operation — courses, staff, rooms, customers, and consents — from one system instead of spreadsheets, paper forms, and messaging groups.

Multi-Location Studios

Manage several locations with their own rooms and teams in a single installation. Location-based reporting shows you utilization at a glance.

Families & Course Participants

Parents get a clean online catalog, book courses for multiple children in one flow, and manage their family and bookings in their own account.

Instructors & Course Leaders

Team members see their dashboard, calendar, and course assignments. Skill profiles ensure instructors are matched to courses they are qualified to teach.

Other Course-Based Organizations

The event, session, and enrollment model fits beyond dance: music schools, sports clubs, children's activity providers, and workshop organizers can use the same structure.

FAQ

Frequently asked questions.

Who is PM Course Booking for?

Dance schools and similar course-based organizations — from single studios to operators with multiple locations, rooms, and teams. The data model also fits music schools, sports clubs, and workshop providers.

Can parents book courses for their children?

Yes. Family accounts contain adults and children as individual persons. A parent selects one or more children in the booking wizard and completes the enrollment — including consent confirmation — in a single flow.

How does the system handle GDPR consent?

Every person has individual consent records with type, timestamp, who gave the consent, and revocation tracking. Consents are checked and recorded during booking, and a dedicated Consent Center shows the complete history per person.

Can I manage multiple locations?

Yes. The system supports unlimited locations, each with its own rooms (including capacity and base pricing) and its own team. Sessions are assigned to specific rooms, and a location bookings report shows utilization.

How does instructor skill matching work?

You define a skills catalog, assign skills with levels and expiry dates to team members, and set required skills per course. The system then shows exactly which instructors meet each course's requirements, including a coverage overview for planning.

What user roles are available?

Four roles: admin (full access including user management), manager (all operational features), team member (dashboard, calendar, courses, profile), and customer (browse, book, manage family and bookings). Navigation adapts automatically to the role.

How do I add staff to the system?

Through email invitations. An administrator invites a team member with a pre-assigned role; the invitee follows the invitation to create their account, and the role is applied automatically.

How is the system deployed, and what does it cost?

PM Course Booking is provided and operated by premotion media. Deployment options and pricing are available on request — contact premotion media for a demo and a tailored offer.
